Who we are
SBO Hub is a workspace for dental residency programs. A program director creates a program for their residency (for example the Saudi Board of Orthodontics program at King Fahad Medical City, where SBO Hub began) and then adds the program's residents and clinic supervisors. Residents and supervisors can't sign up on their own; their accounts are created by their program director.
Each program's data is kept separate: members of one program can never see another program's members or records. The program director decides what is recorded in their program and who can access it.
What we store
- Account details: your name, email address, role (resident, supervisor or program director) and residency year.
- Program details: when a director creates a program, its name, specialty, hospital or university and country.
- Clinical case log: the cases residents record for their training: patient name, file number, case type, treatment status, supervising doctor and notes.
- Leave requests: dates, type, reason, the coverage plan, and the approvals (including signatures) given by supervisors and the program director.
- Resident details and documents: information and files (such as certificates or IDs) that the program director keeps for each resident.
- Clinic schedule: which supervisor each resident works with in each session.
DentBox photos
If a resident connects their DentBox account, they sign in on DentBox's own servers; SBO Hub never sees or stores the DentBox password. Our server keeps only an encrypted DentBox session key so it can show that resident's patient photos next to their cases. The photos stay in DentBox: SBO Hub displays them but does not copy or store them, and the iPhone app keeps them in memory only, never on the device's storage. The resident or the program director can disconnect DentBox at any time.
How we use it
- Only to run the residency workspace: logging cases, tracking training progress, scheduling clinics and handling leave approvals.
- To send workspace emails, such as confirming a new program director's email address, password resets, leave approval requests and their outcomes.
We do not sell data, show advertising, or use any analytics or tracking tools. Nothing is shared with third parties for marketing.
Who can see it
- Residents see their own cases, leave and profile.
- Clinic supervisors see the cases and leave of the residents they are scheduled with.
- The program director sees their whole program, and nothing of other programs.
Access is enforced on our servers by security rules, not only in the app.
Where it is kept
Data is stored in Google Firebase (Firestore database, Authentication and Storage) and processed by our server on Vercel. Emails are sent through our email provider. These services act only on our behalf to run SBO Hub.
On your iPhone
- If you turn on Sign in with Face ID, your sign-in is saved in the iPhone's Keychain, protected by Face ID, and never leaves your device. You can turn it off in your profile.
- The app remembers your email address for the sign-in screen and a few form preferences on the device.
- Case data is not cached on the device for offline use.
Keeping and deleting data
Data is kept while you are part of the program.
- Delete your own account at any time in the app (Profile → Delete account). For a resident this also deletes their cases, leave requests, resident page and documents.
- The program director can disable or delete members' accounts.
- A program director can delete the whole program, which permanently removes every member's account and all of the program's records and documents.
To ask for your data or for it to be deleted, contact your program director or email kfmc.sbo@gmail.com.
